Privacy Policy

This Privacy Policy describes how the Miwa Discord bot ("the Service"), operated by Outer Circle Labs, handles user data, voice notes, and audio attachments.

01 Data We Process

Audio Data: When you send a voice note or use the !transcribe / !translate commands, our bot fetches the audio file over secure HTTPS. This audio data is processed entirely in-memory on our execution layer. We do not store your audio files on permanent local disk storage.
Discord Metadata: We process your user ID, guild/server ID, and channel ID asynchronously to route responses back to your chat window. This metadata is not persisted beyond the request lifecycle.

02 Third-Party Data Sharing

To deliver rapid, accurate speech-to-text transcriptions, the audio stream bytes are transmitted via encrypted API endpoints to Groq, Inc. ("Groq").

By using this Service, you acknowledge and agree that your audio data is subject to the Groq Privacy Policy. Groq processes this data in compliance with its processing terms, and we do not retain control over Groq's internal infrastructure data management.

03 Data Retention

We believe in data minimization. Raw transcription outputs are passed directly back to your Discord channel and are not logged or cached by our system database beyond transaction state lifecycle execution logs.

Audio files: Discarded immediately after processing — never written to disk
Transcription text: Delivered to the Discord channel and not stored on our infrastructure
Discord metadata: Held only for the duration of the request

04 Data Security

All data in transit is encrypted via HTTPS/TLS. Audio data is processed in-memory and is never written to persistent storage. We follow the principle of least-privilege access for all infrastructure components.

05 Your Rights

Because we do not store personal data beyond the immediate request lifecycle, there is no persistent data to access, modify, or delete. If you have concerns about data processed during a transcription request, please contact us and we will assist you to the extent possible.

06 Children's Privacy

The Service is not directed at individuals under the age of 13. We do not knowingly collect personal information from children. If you are a parent or guardian and believe your child has provided data through the Service, please contact us.

07 Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Effective Date" at the top of this page. Your continued use of the Service after any changes constitutes acceptance of the updated policy.
